The Email Template Easy Editor is designed to help you create polished recognition email templates without requiring HTML email template creator knowledge. This article provides instructions on navigating to the Easy Editor, configuring its settings, editing existing templates, and attaching email templates to various notifications within the platform.

Navigating to the Email Template Easy Editor
To navigate to the Email Template Easy Editor:
- Select the Admin button at the bottom of the left navigation menu.
- In the left navigation menu, select “Platform,” "Notifications," and then "Email Templates."
- Click "Add Template."
- Complete the following fields:
- Template Name: Enter a descriptive name for the template.
- Email Type: Select the appropriate email type from the dropdown menu.
- Language: Choose the language for the template.
- The following email types are available:
- Bulk Email: Non-monetary emails sent to recipients using the Bulk Email Builder.
- Nomination Approved: Emails sent to recognition givers when a nomination is approved.
- Nomination Declined: Emails sent to recognition givers when a nomination is denied by approvers.
- Nomination Needs Approval: Emails sent to recognition approvers.
- Point Balance: Emails sent to users to remind them of their point balance.
- Points Expiring: Emails sent to users to notify them of upcoming point expiration.
- Recognition: Emails sent to recognition recipients.
- Recognition Reminder: Emails sent to users as reminders to recognize others through a recognition program.
- Teammate Milestones: Emails sent to users and managers to remind them to contribute to a teammate's MemoryBook.
- Survey Notification: Emails sent to the users for survey launches and reminders.
- In the "Editor Type" dropdown menu, select "Easy Editor."
- Click "Next."
Email Template Easy Editor Settings
When creating an email template, it's essential to consider whether the recognition is monetary (points-based) or non-monetary (no points). The two tabs at the top of the screen allow you to add customized messaging specific to each type. Note that content added to the "Recognition Without Points" tab will not be copied to the "Recognition With Points" tab. You must edit the content on both tabs separately.
Before proceeding, familiarize yourself with the email variables that can be used in the templates. Email variables are placeholders that are automatically populated with relevant data about email recipients when the message is sent. A tag icon indicates where variables can be used. Click the icon to view the available variables.
Below are the most commonly used variables:
- {{CompanyName}}: The name of your organization as listed in General Company Settings.
- {{CompanyUrl}: The url of your organization’s recognition platform.
- {{RecognitionAmount}}: The amount of points being awarded.
- {{RecognitionAmountLabel}}: The label of your platform’s currency.
- {{RecognitionToEmail}}: The email of the award recipient.
- {{RecognitionToEmployeeId}}: The employee Id of the award recipient.
- {{RecognitionToFirstName}}: The first name of the award recipient.
- {{RecognitionToLastName}}: The last name of the award recipient.
- {{RecognitionFromFirstName}}: The first name of the award giver.
- {{RecognitionFromLastName}}: The last name of the award giver.
- {{RecognitionText}}: The text input by the award giver in the recognition.
- {{MilestoneDate}}: The date an award recipient receives a MemoryBook.
- {{MilestoneLink}}: The link that directs MemoryBook recipients to their MemoryBook.
- {{MilestoneRecipientFirstName}}: The first name of the MemoryBook recipient.
- {{MilestoneRecipientLastName}}: The last name of the MemoryBook recipient.
- {{TeammateFirstName}}: The first name of a user invited to contribute to a MemoryBook.
- {{TeammateLastName}}: The last name of a user invited to contribute to a MemoryBook.
The following settings can be configured in the Easy Editor:
- Subject: The text that appears in the email's subject line.
- Pre-Header Text: The short summary text that follows the subject line in an email inbox.
- Company Logo:
- Display/Hide: Toggle to show or hide the company logo at the top of the email.
- Replace Image: Select to upload a different logo.
- Header Image: Upload an image to appear at the top of the email. Images should be a minimum of 600 pixels wide and 300 pixels tall. The recommended dimensions are 1200px X 600px. Avoid using large images that could slow down email loading times.
- Header Text: Text entered here will be bolded, centered, and displayed at the beginning of the email's message.
- Main Text: Use this text box to edit the main body of the email.
- Hashtags: Toggle "Display" to show company hashtags associated with the recognition in the email.
- Button Display Text: Enter text to display on a button in the email. Leave this field blank if a button is not needed.
- Button Destination Link: Enter a destination link for the button. Leave this field blank if a button is not needed. Email variables, such as {{ActivationLink}}, can be used here.
- Below Text: Use this text box to add or edit text at the end of the email.
After configuring the settings in the "Recognition Without Points" tab, make any necessary adjustments in the "Recognition With Points" tab. A preview of the email template is displayed on the right side of the screen. Click "Enlarge Preview" to view both the desktop and mobile versions of the email. When you are satisfied with the template, click "Save."
Editing an Email Template
To modify an email template:
- Select the Admin button at the bottom of the left navigation menu.
- In the left navigation menu, select “Platform,” "Notifications," and then "Email Templates."
- Click the three dots next to the email template you want to edit.
- Select "Edit Template."
- Click the three dots to the right of the email template variant.
- Click "Edit Template."
- Make the necessary changes and click "Save."
