Use approval settings to keep recognition moving quickly while giving givers clear visibility into what is happening with their submissions.
Navigating to Reminders
To view and edit Reminders settings:
- On the homepage, select the Admin button at the bottom of the left navigation menu.
- From the left navigation menu, click “Platform” and then "Approval."
Approval Reminders
Receiving recognition for something completed two months ago doesn’t have quite the same impact as receiving it immediately. While approval processes are sometimes needed, they can weaken the power of recognition. Approval reminder emails are a great way to help remove that bottleneck.
NOTE: Approval reminder emails are sent once a week on Monday.
Use approval reminders when:
- You have approval steps in your recognition programs.
- You want to keep recognition timely without manually chasing approvers.
- You want a simple, automated nudge so items do not get forgotten.
My Submissions Settings
Use these settings to control what givers can see about their pending recognitions.
These settings are managed at the program level by your Awardco admin.
“My Submissions” Approval Tab
This setting lets givers see recognitions they have submitted that are still waiting for approval.
When this is enabled:
- Givers see a My Submissions tab that shows recognitions they have sent that are still pending.
- Givers can check the status on their own instead of asking an admin or manager.
Use this if:
- You want givers to track their own pending recognitions.
- You want fewer “Did my recognition go through?” questions.
Giver Can See Names of Approvers
This setting controls whether givers can see who is currently assigned as the approver for their pending recognition.
When this is enabled:
- Givers see the name of the current approver in the pending approvals queue.
- Givers know exactly who is reviewing their recognition.
Use this if:
- You want more transparency for givers.
- You want givers to know who to follow up with (if needed).
Giver Can See Reason for Declined Recognitions
This setting lets givers see the reason when a recognition they sent is declined.
When this is enabled:
- Givers can view the decline reason provided by the approver.
- Givers understand what went wrong and what to change next time.
Use this if:
- You want clear feedback for givers.
- You want to teach and guide givers instead of leaving them confused.
NOTE: Keep decline reasons simple and kind so givers clearly understand what to do differently.
Approval Reassignment
Approval reassignment keeps approvals moving when a manager or approver leaves, changes roles, or is archived. This setting uses the Supervisor ID field in your user file.
When Approval Reassignment is turned on:
- Any pending approval in an archived user’s approval queue is automatically reassigned.
- The approval is routed to the correct approver based on the updated Supervisor ID in the user file.
This helps you:
- Prevent approvals from getting stuck with inactive approvers.
- Keep recognition flowing even during org changes.
NOTE: For approval reassignment to work correctly, keep the Supervisor ID field up to date in your user file.
