Configure the Workday Anytime Feedback integration to ensure a seamless flow of recognition data between Awardco and Workday. Completing these steps reduces administrative friction and ensures that impactful recognition is captured accurately and securely in Workday. This resource serves as your definitive roadmap for bridging the gap between daily recognition and formal performance management.
What Does the Integration Do?
Recognitions are automatically sent from Awardco to Workday and logged as employee "Feedback" to be used in manager 1:1s, performance reviews, etc.
Setting up the Integration
Create an Integration System User (ISU)
You'll need an ISU to own and run the report:
- Go to the Workday search bar and type "Create Integration System User," then click the task.
- Create a Username.
- It's a good idea to start your ISU username with "ISU_" (for example, ISU_Awardco).
- Make sure your password is strong, following Workday's best practices. (You can update it later if needed.) To change the password:
- Search for your ISU in the search bar.
- Make sure the search category is "All of Workday."
- Click on your ISU, and on the "View Workday Account" page, go to "Related Actions," hover over "Security Profile," and click "Edit Workday Account."
- Check the box for “Do Not Allow UI Sessions” (this stops anyone from logging into Workday with the ISU credentials, but the ISU can still use web services and integrations).
- Click "OK."
Create Security Group for ISU/Report Access
Next up, you'll create a security group to assign the ISU to:
- In the search bar, type "Create Security Group" and click the task.
- For "Type of Tenanted Security Group," select "Integration System Security Group (Unconstrained)."
- Name the security group. It's best practice to include "ISSG" in the name (for example, ISSG_Awardco).
- Click "OK."
- On the next screen, under "Integration System Users," select the ISU you just created and click "OK."
Assign Domains to the Security Group
- Run the "Maintain Permissions for Security Group" task and find the security group you just created.
- In the “Domain Security Policy Permissions” tab, click the plus sign to add a Domain Security Policy Permission. In the “View/Modify Access” section, add “View and Modify Access”. In the “Domain Security Policy” section, add “Worker Data: Anytime Feedback”. This allows Awardco access to Anytime Feedback. See screenshot below:
- Press “OK” and then “Done” to submit your changes to the policy.
- Add Security Group to Business Process Security Policy:
- Go to the search bar and lookup “Edit Business Process Security Policy”.
- Select “Give Feedback”.
- Under “Initiating Action: Give Feedback (Web Service)” and “View All” add your newly created security group to “Security Groups”.
- Under “Who Can Do Actions on Entire Business Process” add your newly created security group to “Security Groups”.
- Click “OK” and then “Done” to submit your changes.
- Activate Pending Security Policy Updates:
- Go to the search bar and lookup “Activate Pending Security Policy Changes”.
- Add in your comment for the change.
- Select “OK”.
- Check the Confirm box and Select “OK”.
- Run the “Register API Client for Integrations” task in Workday tenant with fields as follows:
- Client Name: Awardco_Feedback
- Non-Expiring Refresh Tokens: checked.
- Scope: Worker Profile and Skills, Performance Enablement
- Note down the following values:
- Client ID
- Client Secret
- These values will be entered in the Awardco platform later.
- Obtain the SOAP API Endpoint:
- Run the "Public Web Services" task
- Find "Talent (Public)" in the list (control/command f)
- From the ellipsis menu, select Web Service and then View WSDL
- Control/command+f to search for "soapbind:address location" and the URL will be after the = sign in quotation marks
- Run the View API Clients task on Workday.
- Note down the ‘Token Endpoint’ at the top of the page.
- Go to API Client for Integrations tab.
- Click the 3 dot menu next to your API client, select API Client, and then select “Manage Refresh Tokens for Integration”.
- In the Workday Account drop down, select your ISU that you created earlier.
- Select the checkbox “Generate New Refresh Token” box and then click “OK”.
- Note the generated Refresh Token and copy into Awardco.
Creating a Badge for Awardco Feedback
A specific badge can be created in Workday and then Awardco can use that badge so that you know which feedback items came from recognitions.
Finding and Creating Badges
Run the “View Feedback Badges” task in Workday.
Here you can see a list of all existing Feedback badges.
If you want to create a custom badge for Awardco, you will run the Maintain Feedback Badges task.
You will click the “+” symbol in the top left and then add a name and choose an icon.
You will then see your Badge in the list!
To get the Badge ID that you will enter into Awardco, you will click on the 3 dots under the badge name, then Integration IDs, then view IDs.
Here, the ID that you will provide to Awardco is the Feedback_Badge_ID in the ID column, NOT the Workday ID.
Workday Registration in Awardco
Now you can complete the registration process within the Awardco platform.
- Log into your Awardco account.
- Click the “Admin” button at the bottom of the left navigation menu.
- From the left navigation menu, select "Platform," "Integrations," and "Integrations Library."
- Search and select “Workday Feedback.”
- Click “Begin Setup.”
- If you haven’t done so yet, follow the instructions in the “Create an Integrated System User (ISU) Account” section to create a specific ISU account for Awardco. If you have, click “Next.”
- If you haven’t registered Awardco as an API Client for Integration in Workday, follow the instructions in the “Registering Awardco as an API Client in Workday” section. If you have, click “Next.”
- Input the Client ID and Client Secret in the appropriate fields. This information was given by Workday and is found at the bottom of the Register API Client for Integrations page. Click “Next.”
- Note: If the Client Id or Secret is input incorrectly, you’ll need to generate a new client secret. See the FAQ section of this document if you find yourself needing to generate a new client secret.
- If you haven’t done so yet, follow the instructions in the “Obtain the SOAP API Endpoint” section to locate your SOAP API Endpoint. If you have, click “Next.”
- If you haven’t already, find your token endpoint by running the task “View API Clients” in Workday and take note of the token endpoint at the top of the page. If you have, click “Next.”
- Input the refresh token. If you are unsure where to find this value, reference the “Manage Refresh Tokens for Integration” step in this support article. Click “Next.”
- On the connection success screen, click “Next”.
- Input the Workday Badge ID. This step is optional. If you choose to skip this step and want to add a badge later, you can return to the integration General Settings page after setup to enter the Badge ID. To find your Badge ID, visit the “Creating a Badge for Awardco Feedback” section in this support article. Click “Next”.
- Select the desired program(s). The dropdown menu displays your recognition programs and their Program ID. Only recognitions from the programs you select will be sent to Workday. You can configure or adjust this later on the integration General Settings page after setup. Click “Finish Setup”.
- Note: Automated Service Award, Birthday and Onboarding programs cannot be sent as feedback through this integration.
General Settings Page
Once the Workday Feedback Integration is set up, you’ll have access to the integration’s “General Settings”.
- Pause Exports: Stops all exports. Resume exports by clicking the button again.
- Workday Badge ID (Optional): In Workday, this badge will be associated with feedback items sent from Awardco.
- Included programs: The dropdown menu displays your recognition programs and their Program IDs. The integration will only send recognitions from selected programs to Workday.
- Keyword Exclusions: Enter words separated by a comma. If any of these words are included in a recognition, the recognition will not be sent to Workday.
- Update API Client: If you need to update any credentials that you entered during setup, this button will take you back through the setup flow.
- Delete: Deletes your integration connection. You can always reconnect by clicking the “Begin Setup” button.
FAQ
Q: How long will it take for recognitions to show up as Feedback in Workday?
- A: The integration runs a daily sync at around 4 am MST.
Q: What is the benefit of a Workday Certified Native Integration?
- A: The Workday Certified designation is achieved through a rigorous process that includes security checks, compliance audits, and customer interviews. This status shows that Awardco is compliant and secure, helping to accelerate security and IT reviews since Workday has already approved the integration. It also legitimizes Awardco as a key partner of Workday.
Q: What’s the difference between the old Workday Feedback integration and this new one?
- A: The new Workday Feedback integration is a Workday Certified Native integration, which is a major upgrade. The key differences are:
- Certified Status: Tested and certified by Workday for security and compliance.
- Speed & Cost: This integration is free, self-service, and takes only 10-30 minutes to deploy. The legacy version was not self-service and had a fee associated with it.
Q: I already created an ISU for the Workday user import integration. Do I need to create another one for the Workday Feedback integration?
- A: The ISU permissions between integrations are similar but have some differences. While you can use the same ISU by adjusting the permissions, we recommend that you start from scratch and create a brand new ISU for this integration so that you don’t miss any setup steps.
Q: I copied the Client Secret incorrectly during registration. What do I do?
- A: The client secret can only be viewed once after creation. If you copied it wrong, you’ll have to generate a new client secret, which will invalidate the other secret. To generate a new secret:
- Run the “View API Clients” task in Workday.
- Switch to the “API Clients for Integrations” tab.
- Find your Client in the list and hover over the ellipsis.
- Select the “Generate New Client Secret” option.
- Check the “Confirm” box and hit “OK”.
- The new client secret will be available on the following screen.
