If sending your formatted user file via SFTP or Bulk User Upload, you have the option to receive emails notifying of any error impeding the user file from successfully uploading. Contact you Awardco point of contact or the Technical CSM Team to begin receiving these emails. To find solutions to any upload error you may receive, reference the table below. The Error Type column references other articles for more information on specific errors mentioned in the table.
| Error Type | Error | Solution |
| File Format Issues | Missing Columns: employeeid, firstname, lastname | Save the file as a csv or add the missing columns and try uploading again. |
| Bad Data Found | Save the file as a csv and try again. | |
| Index was outside of the bounds of the array | Upload non-user files to the correct location, outside of the /User file, to avoid the webhook/API trying to upload it. | |
| File is Inaccessible | No such file or directory | This usually means the file was renamed or removed during the upload process. Sometimes this is deliberate for testing purposes. If not, reupload the file and make sure it maintains its location and name. |
| Unable to retrieve file from Workday | The issue could be the Username, Password, or report URL. Additionally, the username assigned to Awardco could have lost permission to access the report. To identify the cause enter the Report URL from the integration into a browser and try using the Username/Password to access the report. The resulting error message should indicate what the problem is. | |
| Unable to retrieve user file from BambooHR | The issue could be the BambooHR domain, the report ID, or the API Key. Please check with your BambooHR rep to determine the problem. | |
| Incorrect Data Format | Phone number must be in format |
Phone numbers must be in a valid format: +11234567890 |
| Hire date must be in format x |
The Hire Date column must be in a valid format: M/D/YYYY YYYY-MM-DD |
|
| Birth date must - {list of valid roles} |
The Birth Date column must be in a valid format M/D/YYYY YYYY-MM-DD |
|
| First Name is Required (Row) | All employees must have a first name | |
| Last Name is Required (Row) | All employees must have a last name | |
| Employee ID is Required (Row) | All employees must have a unique Employee ID | |
| Country is not valid |
Country codes must be in 2 character ISO format: |
|
| Missing Column | An expected column is not appearing in the file. This generally has to do with upload parameters | |
| Duplicate Employee ID in the file | Multiple instances of the unique Employee Id appear in the user file. Employee IDs must be unique. | |
| Cannot parse approve mapping: {mapping} | The custom approver mappings cannot be applied. This usually means the column in the file references a user that no longer exists. | |
| Cannot parse Recognition Program Approval Rule ID: {mappingSplit[1]} | The custom approver mappings cannot be applied. This usually means the rule referenced in the Approver Mapping has changed and needs to be updated. | |
| Cannot name a generate column the same as an import column | The user file includes a column with the same header as a field created in the Metadata Generator | |
| A Cycle was Detected in the set of changes | A group of approvers is circular. Most commonly this is associated with the Chief Executive. If you need help, please contact your CSM. | |
| An item with the same key has already been added | The user file has two columns with the same name. Remove or rename one of the columns. | |
| Object reference not set to an instance of an object | The file or import mechanics are referencing an object that doesn't exist. The most common issue is an Employee ID listed in the "Supervisor ID" column, but that is not in the file nor in the platform. | |
| File is Missing Data | Employee ID is Required | Add an Employee ID for the user on the user file and reupload. |
| First Name is Required | Add a First Name for the user on the user file and reupload. | |
| Last Name is Required | Add a Last Name for the user on the user file and reupload. | |
| Employee ID is Required, First Name is Required, & Last Name is Required together | This indicates that there are blank lines at the end of the file populated with just a row of commas. Either open the file in a text editor and delete the comma rows, or open the file in Excel, navigate to the last populated row, select the entire row below it, highlight everything below that on the file using ctrl + shift + down-arrow, and right-click the highlighted area and choose “Delete”. Using the “delete” key will not remove the blank line - you must right-click and delete. Reupload the file. | |
| No Header Record Found | This is a general error. Usually it indicates a problem in the SFTP server structure, a file that was deleted before it could be pulled, or the webhook triggering on a folder creation or other non-file upload action. This can generally be ignored, but please contact your CSM if you believe an uploaded file may not have gone through. | |
| Missing Columns: employee id, firstname, lastname | Review the file to make sure the columns are headed correctly. Try reuploading the file and contact your CSM if you receive the error again. |
