In this article, you'll learn how to access and use the Recognition Limit Utilization report. This report tracks the utilization of points and recognitions within specific recognition programs, giving both managers and admins key insights into how programs are being used. It's only valuable for programs that have point or recognition nomination limits, as it helps you monitor whether these limits are fully utilized. You can organize the data by user, program, or metadata to get a more granular view, helping identify areas of the business that may need additional attention or support.

Why Use This Report?
The key benefits of the report are:
- Identify which groups, individuals, or areas of your business you can focus on to increase engagement with recognition programs.
- Highlight parts of the organization with strong utilization of recognition programs, as well as areas where engagement can be increased.
- Enable managers to coach employees on recognition habits.
- Allow admins and executives to pinpoint underutilized programs, helping optimize the use of monetary recognition programs and increase program adoption.
The report’s output varies based on a Group By option being selected.
- If Group By is set to None, the report shows one row per user per limit per cadence. For example, if a monthly limit is applied and the time range selected is the last quarter, the report would display three rows per user for that limit—one for each month in the quarter (e.g., January, February, March). This provides a detailed view of how users are utilizing their limits across different periods.
- If Group By is set to User, each line represents a specific user, showing their overall point and recognition utilization.
- If Group By is set to Program, each line represents a specific recognition program, showing its overall point and recognition utilization.
- When Metadata is selected in the Group By filter, each line represents a specific metadata value (e.g., department, role, or location), showing utilization across different segments of the organization.
This flexibility gives managers and admins the ability to review performance from various angles, whether they’re focused on individual users, programs, or specific groups within the organization.
Accessing the Report
To access the Recognition Limit Utilization Report:
- Select the “Admin” button at the bottom of the left navigation menu.
- Select “Insights”, “Reports”, then “Recognition Limit Utilization” from the left navigation menu.
Data Filters
Before running the report, you can apply filters to focus on the most relevant data. By default, the data is not filtered. To see accurate data in the Limit Utilization by Program visualization, ensure you select any option other than None in the Group By filter. The following filters are available:
- Time Frame: Select a preset period or customize a specific date range. You can also choose the time zone for the report, with UTC recommended for consistency across Awardco reports.
- User Status: By default, both active and archived employees are included. Use this filter to limit the report to active employees only.
- Country: Filter by the country in which specific users are located.
- Supervisor: Filter by supervisor to focus on data for specific teams.
- Recognition Program: Choose specific programs to view their data.
- Metadata Tags: Narrow down results using custom metadata, such as department, location, or job role.
- Group By: Choose whether to organize the report by:
- None: View detailed program utilization broken down by user by limit by cadence.
- User: View each employee’s recognition limit and their usage over the selected period.
- Program: Analyze utilization based on specific recognition programs.
- Metadata: Group data based on user-specific details like department, location, or job level.
If exporting the report, customize the columns that will appear in the .csv file by selecting options from the drop-down menu. The available column options are listed below:
*If no column specifications are applied, the default columns will be included.
Note: The available columns for selection are dependent on the Group By option chosen:
- If Group By is set to None, all columns are available for selection.
- If Group By is set to User, only user-specific columns (e.g., name, employee ID, supervisor, status, etc.) are available. Program-specific information will not be selectable.
- If Group By is set to Program, only program-specific columns (e.g., program ID, program time zone, point limits, etc.) are available. User-specific information will not be selectable.
- If Group By is set to Metadata, only columns related to the selected metadata field (e.g., department, role, or location) will be available. Other metadata fields, as well as user and program-specific columns, will not be selectable.
All Group By options allow the selection of columns related to limit utilization (e.g., points given, recognition utilization, remaining points, etc.).
When switching between Group By options, columns that are no longer applicable will be grayed out but remain selected if they were previously chosen. This ensures that if you return to a previous Group By option, the relevant columns will still be selected without needing to reselect them.

Once filters are applied, select "Run Report" to display the data. Data can also be exported in .csv format by selecting Export. To save the filter settings for future use, select Save View. Point Utilization & Recognition Utilization
These metrics show the overall utilization of points and recognitions based on the selected filters:
- Point Utilization: Shows the percentage of points given compared to the total points allotted.
- Recognition Utilization: Displays the percentage of recognitions given compared to the total recognitions allotted.
These percentages can vary based on the filters applied, allowing admins and managers to see utilization by country, department, role, or other custom metadata.
Limit Utilization by Category
Note: This chart only displays information if the ‘User’, ‘Program’, or ‘Metadata’ options are selected in the ‘Group By’ filter.
This visualization provides a detailed breakdown of point and recognition limit utilization across different categories. By using the ‘Group By’ option, you can break down the data to focus on specific segments of the organization.
- The darker bar represents the points or recognitions given during the selected time frame.
- The lighter bar shows the actual point or recognition limits available in the recognition program.
- Use the dropdown menu and toggle options to filter and sort the data, displaying it as points or recognitions, depending on what you want to focus on.
For example, the graph below highlights which programs have the highest and lowest utilization. If a program on the far left of the graph shows 3% point utilization, it means that only 3% of the points eligible to be awarded through that program have been given during the selected period.
Exporting Charts and Graphs
To export any chart, graph, or data visualization as an image, click the circular icon at the top-right corner of the graph and select Export as PNG.
Source Data
At the bottom of the report, a table displays the raw data behind the visualizations. This data can be searched by keywords such as employee names, IDs, or supervisor names. The source data can also be exported in .csv/JSON format for further analysis.
