Reporting can be a useful tool to measure recognition engagement organization-wide. If you export the same report on a regular cadence, we now have the ability to have this report be sent to you on a determined schedule. Reference this article to find out how to configure our scheduled reports feature. Please note that this feature is not available with legacy reports.
First you must create a Saved View on a report.
In the desired report, click on Schedules in the top right corner. This will display any created schedules to view or edit, and provide the ability to add in a new schedule.
After selecting “Add Schedule”, fill out the Detail, Frequency, Shared With and Summary sections. Select the report type and Saved View name from the drop down menu, and name the scheduled report.
Next, establish the frequency of either weekly, monthly, quarterly, or yearly. You can also choose to repeat it on a particular cadence as well as specify which day the report is delivered on. For example, you may want a payroll report to send once a week every two weeks on a Friday.
Note: If a Saved View is selected in the Detail section, the date filters applied in the saved view will be overridden by the frequency settings set.
In the Shared with section, type in the name of the person who should also receive the report via email. Only users who have permission to view the report will show up in the search. The creator of the schedule will automatically be assigned as the owner. You can also change who is the owner of the schedule. In order to toggle to a different owner, you must add the person to the schedule and save the settings first. You can then edit the schedule and assign a different owner. If you change ownership, a message will appear asking you to confirm the change. Select if you want to continue to receive emails for this report.
In the Summary, pick your first run date. This is the date that the first report will be run and sent to you. The summary also states when the report will run and what dates it will include.Once you've reviewed everything, click “Save.
On the Reports page, click the “Scheduled” tab to see reports you have scheduled and reports that have been shared with you. You can quickly see who the report has been shared with and who the owner is.
On this page you’re able to search and filter the scheduled reports that have been created and been shared with you. You can also create new scheduled reports.
Clicking the caret next to the scheduled report's name will show you the schedule details. You will also see the previously scheduled reports that you can download. Note that reports will only be available for download for two weeks. “Run Now” will generate the report that can be downloaded as soon as the report is generated.
When a new report is available for download, an email will be sent to the person who created the schedule and all the report is shared with. The email will include a link to directly download the report. The report attached in the email can only be downloaded by those who have their email in the Awardco platform.
