Navigating to the Email Template Easy Editor
To navigate to the Email Template Easy Editor:
- Click on the Admin button on the homepage
- Select the Settings tab
- Select Email Templates under Company Settings.
- Click Add Template
- Fill out the Template Name, select an Email Type, and select the Language.

- Nomination Declined - Email sent to recognition givers when recognition is denied by approvers

- Points Expiring - Email sent to users alerting them of point expiration
- Recognition - Email sent to recognition recipients
- Recognition Reminder - Email sent to user reminding them to recognize through a recognition program
- Teammate Milestones - Email sent to users and managers reminding them to sign a teammate's MemoryBook

Email Template Easy Editor Settings
When creating an email template, it’s important to keep in mind if the recognition is monetary (points attached) or non-monetary (no points attached). The two tabs at the top of the screen will allow you to add custom messaging to the email template depending on if points are allotted or not. Content added on the Recognition Without Points tab will not be copied over to the Recognition With points tab; you will need to edit content on both tabs.
Before proceeding, become familiar with email variables that can be utilized in the email templates. Email variables are pieces of text in email templates that are automatically filled with corresponding data about email recipients when they receive the message. Any opportunity to use variables will display a tag icon. Click on the icon to view the following variables available for selection.
Below are the most commonly used variables:
- {{CompanyName}}: The name of your organization as listed in General Company Settings.
- {{CompanyUrl}: The url of your organization’s recognition platform.
- {{RecognitionAmount}}: The amount of points being awarded.
- {{RecognitionAmountLabel}}: The label of your platform’s currency.
- {{RecognitionToEmail}}: The email of the award recipient.
- {{RecognitionToEmployeeId}}: The employee Id of the award recipient.
- {{RecognitionToFirstName}}: The first name of the award recipient.
- {{RecognitionToLastName}}: The last name of the award recipient.
- {{RecognitionFromFirstName}}: The first name of the award giver.
- {{RecognitionFromLastName}}: The last name of the award giver.
- {{RecognitionText}}: The text input by the award giver in the recognition.
- {{MilestoneDate}}: The date an award recipient receives a MemoryBook.
- {{MilestoneLink}}: The link that directs MemoryBook recipients to their MemoryBook.
- {{MilestoneRecipientFirstName}}: The first name of the MemoryBook recipient.
- {{MilestoneRecipientLastName}}: The last name of the MemoryBook recipient.
- {{TeammateFirstName}}: The first name of a user invited to contribute to a MemoryBook.
- {{TeammateLastName}}: The last name of a user invited to contribute to a MemoryBook.
The section below explains each of the settings you’re able to edit in the Easy Editor:
- Subject: The text that will appear in the email’s subject line.
- Pre-Header Text: The short summary text that follows the subject when viewing an email from any inbox.
- Company Logo: Toggle Display if you’d like the company logo to show at the top of the email, or Hide. Select Replace Image if you’d like a different logo to appear on the email.
- Header Image: Upload an image to appear at the top of the email. Images should be a minimum of 600 pixels wide and 300 pixels tall. The recommended dimensions are 1200px X 600px. Avoid using large images that could slow down email loading times.
- Header Text: The text input here will be bolded, centered, and appear at the beginning of the email’s message.
- Main Text: Use this text box to edit the email’s message.
- Hashtags: Toggle Display if you’d like company hashtags attached to the recognition to display on the email.
- Button Display Text: Enter text that will display on a button in the email. Leave blank if a button isn’t necessary.
- Button Destination Link: Enter a destination link for a button in the email. Leave blank if a button isn’t necessary. Email variables, such as {{ActivationLink}} can be used here.
- Below Text: Use this text box to add/edit text at the end of the email.
Once you’ve filled out all the settings in the Recognition Without Points tab, make proper adjustments in the Recognition With Points tab. A preview of what the email template will look like in an inbox can be found on the right side of the screen. Click Enlarge Preview to view both the desktop and mobile view of the email. Once satisfied Click Save.
Editing an Email Template
To make adjustments to an email template:
- Click on the Admin button on the homepage
- Select the Settings tab
- Select Email Templates under Company Settings.
- Click the three dots next to any email template
- Select Edit Template
- Click the three dots to the right of the email template variant
- Click Edit Template
- Make adjustments and select Save.
